Information for People who will be Exhibitors or Vendors 
at Planet Earth Party

NOTE: As our focus of Earth Day 2018 is plastic reduction, we ask that, if at all possible, you not utilize the following: Balloons, plastic decorations, plastic straws (except reusable), and land-fill give-aways, no bottled water, etc.
Food trucks: are responsible for providing garbage in front of their trucks.
We encourage display tables to be as fun and interactive as possible. If you are an information or display table, please be ready with options but also invite people to bring in things to find out if they are truly recyclable (e.g. the envelopes many teabags come in, envelopes with plastic windows, etc.)
Directions from Victoria.....take Highway 14 toward Sooke. Turn right (heading north) on Otter Point Road (third traffic light after bridge). Turn left on Eustace Road and the hall is on your left.

Tell us about yourselves and your business or group. How green are you? What is your vision for your business within the environment? Does your business reduce waste? Are you upcycling, doing something constructive with waste, or doing something constructive without any waste, making things local? On your application or in an email let us know something special that you are doing so we can showcase your efforts.

Exhibitor Application & Agreement

TERMS AND CONDITIONS
Exhibitor application and payment must be received by April 1st, 2018. Applications will be accepted beyond this date, if booth space is available.
Cancellation policy: prior to April 1, 2018, full refund of booth fee will be awarded. After April 1, 2018, minimum cancellation fee of 50% applies; partial refund of balance provided only if a replacement exhibitor can be found.
Wifi internet service is unavailable in the hall, however cellular service is good.
Exhibitors may bring shelves, tables, props etc. for booth or table space, these must remain within the confines of your allotted space.
Limited electricity available, must be requested at time of booth booking.
Exhibitor drop off and set up Sunday, April 22 8:30 a.m. All exhibits must be set up prior to opening at 10:00 a.m.
Most exhibitor space consists of an 8’ table. If you need booth space or have high backdrop banners, please let us know at time of booking so we can organize the floor plan accordingly.
All exhibitors must check-in at the registration table prior to set up.
Parking attendants will direct exhibitors to designated unloading zones
It is important to unload quickly to allow for the next exhibitor in line.
Once unloaded all exhibitors will be directed to alternate parking areas, leaving parking near the hall for attendees. Thank you!
